Help Desk software and Your Business

Why Use Help Desk Software for Any Business Online or Not

You might have a business that doesn't even have any significant online presence. Say, for example, you own a music store and sell instruments, books, lessons, and rentals.

You don't sell any services or products online. People need to visit your store to select a brand new guitar, or rent an alto saxophone for their fifth grader. You might have a small web site giving directions to your store, your hours, and phone, but other than that, you don't operate online, really.

Would your business benefit from help desk software? You bet! Installing and configuring a help desk solution involve some expense, but I think you'll find the expense and effort worth the trouble. You probably already have a web site hosting your site information.

If not, you probably already have access to a cheap hosting solution. Setting up a new help desk software solution shouldn't be difficult at all. We're not talking about e-Commerce. You don't need to set up a shopping cart, buy and SSL site certificate, or deal with online payments. Setting up a help desk program for your use should be fairly simple, overall.

First, as in my music store example, your business might have a repair shop built-into the store. You can enter a 'repair ticket' for instruments brought to your shop for repair. Using this software, you can track the status of each ticket and even place the status online for your customers to view. You could have an automatically generated email sent to the customer telling them their instrument is repaired, ready to pick up, and how much the final cost is.

Second, you could store answers to frequently asked questions (FAQs) on your help desk site. For example, if a tiny tuba player gets her felt hole-covers sticky because she was drinking a sugary soda before playing, your site can show how to clean off the felt. You could also post documents explaining the proper care for various instruments.

Having a FAQ and showing care instructions gives you an online resource you can send your customers when they call and also demonstrates your expertise in the area. You now generate more business because people go to your help desk site for information and trust your business.

Finally, you might very well find your repair and support staff has a lot of knowledge, but that knowledge isn't written down anywhere. Having your staff summarize how they resolved any problems with the instruments brought in for repair allows you to keep a running record of common problems and how they're fixed. You might even find one particular manufacturer of an instrument requires more repair visits than others.
